• Office Support Assistant - The Rock Counseling Group

    The role of office assistant is vital to the successful functioning of the overall practice. This is many times the first point of contact for clients and can establish the clients overall experience. It is vital that individuals in this position display professional, prompt, and customer friendly services. This individual must communicate clearly and efficiently both verbally and in writing. This person must also demonstrate the ability to adjust to various tasks as needed and balance the needs of both the clients, clinical staff, and administrators. Phone etiquette and ability to manage complicated conversations with both clients and community partners is a key role. Ability to work in a team environment and independently is essential.

    *Job Tasks and Responsibilities but not limited to*
    • Intake phone calls and appointment reminder calls
    • Communicate with therapists about scheduling, rescheduling, client questions, etc.
    • Call clients regarding scheduling, rescheduling, client questions, etc.
    • Managing incoming phone calls
    • File paperwork
    • Enter and Scan paperwork to Therapy Notes, One drive, etc.
    • Check in clients to ensure their needs are being met
    • Process payments as clients come in for sessions or to make payments on accounts
    • Handout and explain intake paperwork to new clients
    • Light Cleaning and Tidiness of office as assigned
    • Assist in logging intakes onto monthly referral list
    • 5-minute shift change at beginning of shift with Staci and Rubina
    • Communicate with other office support staff at end of shift Mailing—stuffing envelopes, stamp, mail
    • Miscellaneous duties assigned by Administrative Leadership and Office Manager
    • Special Projects as assigned—cleaning, scanning, filing, etc.
    • Provide coverage assistance for vacations and other office support time off at both Champaign, IL and Mahomet, IL Locations.

    Other Job Requirements: Must be able to lift 25 lbs., proficient in Microsoft office programs including Microsoft word, excel, outlook email. Must pass background check.

    Compensation: Commensurate with skills and experience

    Group Health Insurance Eligibility: The Rock Counseling Group offers all employees the opportunity to participate our group insurance plans through Health Alliance. The Rock Counseling Group offers 2 plans for employees to choose from.

    Travel/Mileage Reimbursement: $0.54 per mile for clinical activities approved by CFO, rate is subject to change based on federal mileage rate standards and the discretion of the administrative leadership team.

    401-K 3% Safe Harbor Contribution: Upon meeting eligibility requirements of The Rock Counseling Group 401-K, The Rock Counseling Group will contribute 3% of your annual salary to this plan on your behalf. You will have opportunity upon meeting eligibility requirements to contribute your own discretionary funds to this plan as well.

    Meal/Food Perks: Healthy/Foods and snacks are provided to all employees at no cost to the employee. Food is for employee use only and accessible during work hours of the employee.

    Sick Time and Vacation: Position does not provide Paid Time Off. However, opportunity to make up hours for time off would be available pending administrative leadership approval.

    A. Training regarding systems, policies, electronic medical record, as well as other vital systems will be provided during your orientation your will be paid at your clinical rate for all orientation hours.
